Position Overview
The Executive Assistant will provide critical support to the Founder by managing daily communications, maintaining schedules, and assisting in content creation and distribution. This role requires excellent organizational skills, a proactive mindset, and technical proficiency with various tools and platforms. The ideal candidate will be detail-oriented, tech-savvy, and comfortable handling a range of administrative and creative tasks.
Key Responsibilities
Email and Calendar Management
- Monitor and respond to emails on behalf of the Founder, ensuring timely communication.
- Manage the Founder's calendar, schedule meetings, and coordinate appointments.
Content Creation
- Draft engaging video scripts and descriptions tailored to target audiences.
- Write and schedule social media posts to promote content and brand visibility.
- Create transcripts using online tools and ensure accuracy.
Website and SEO Management
- Add blog articles to websites, optimizing on-page and off-page SEO elements.
- Collaborate with the team to implement best SEO practices.
Client and Team Support
- Establish client accounts across various tools and platforms.
- Pull and analyze reports, sharing key insights with the internal team and clients.
Social Media and Online Engagement
- Monitor and manage social media posts and schedules to ensure consistency and engagement on Facebook, Instagram, TikTok, LinkedIn, and YouTube.
- Respond to Google Business Profile (GBP) reviews promptly and professionally.
Collateral Material and Mailings
- Collaborate with printers and mailing houses to distribute marketing materials such as postcards and magazines.
- Manage processes related to mailing books and other printed materials, aligning with strategies like those used by Josh Nelson.
Technology Management
- Maintain and use tools such as Google Suite, Google Drive, ClickUp, Go High Level, WordPress, ChatGPT, NotebookLM, Search Atlas, Loom, Scribe, and social media platforms.
Required Skills
Core Skills
- Previous experience in a similar administrative role.
- Expert-level English.
- Proficiency in using Google Suite and other productivity tools.
- Strong organizational and time management skills.
- Knowledge of WordPress and basic SEO principles.
- Familiarity with social media platforms and content scheduling tools.
Technical Skills
- Experience with ClickUp and project management systems.
- Familiarity with Go High Level.
- Comfort working with AI tools such as ChatGPT and NotebookLM for content creation.
- Ability to pull and interpret performance reports from tools like Search Atlas.
Soft Skills
- Exceptional communication skills, both written and verbal.
- Proactive and resourceful in identifying and solving problems.
- High attention to detail and accuracy in all tasks.
